Business meetings in Taiwan: how to prepare

Practical preparation for a business meeting in Taiwan: objective, participants, materials, questions, notes and follow-up.

A useful meeting starts before the meeting room. When the objective, participants and open questions are clear in advance, it is easier to leave with decisions and next steps.

1. Define the meeting objective in one sentence

Is the goal to get acquainted, assess a supplier, negotiate commercial terms, see a product or agree the next phase? If participants have different expectations, the discussion can easily become unfocused.

2. Clarify participants and decision authority

Ask in advance who will attend and which matters can realistically be decided in the meeting. This helps you prepare the right level of material and questions.

3. Make materials easy to share

A short company introduction, product or requirements material and key figures should be easy to share digitally. A complex presentation is not a substitute for a clear objective and concrete questions.

4. Prepare a question list but leave room for discussion

Write down the main technical, commercial and practical questions in advance. Prioritize them so critical points are covered even if the meeting is shorter than planned.

5. Send a summary promptly

Much of the meeting’s value is created in follow-up. Send a short summary of agreed points, owners and timing. This reduces interpretation gaps and makes the next phase easier to start.
